What sections should a molded pulp packaging RFP contain?
Five. A scope statement covering annual volume, SKU count and forecast accuracy; a technical requirement section with drawings, material and test methods; a commercial terms section covering tooling, MOQ, lead time, payment and Incoterms; a compliance section listing the documents required before award; and an evaluation section publishing the scoring weights. An RFP that omits the weights invites suppliers to optimize against a guess instead of the buyer's actual criteria.
How many suppliers should receive the RFP?
Three to five qualified suppliers is the practical band. Fewer than three limits price discovery and tooling comparison; more than five multiplies sample and evaluation work without improving the award decision. Send the same document, drawings and response deadline to every participant, and require the same bid form back, so quotes arrive comparable line by line rather than in five different formats.
Should tooling be quoted separately from unit price?
Yes. Ask for tooling as its own line with a payment schedule and an explicit statement of who owns the mold, because bundling tooling into unit price hides the break-even volume and prevents an apples-to-apples comparison. A separate tooling line also makes amortization and mold ownership negotiable, and turns the mold into a transferable asset if the buyer later changes supplier.
Which Incoterm should the RFP mandate?
One term for every bid, chosen to match where the buyer wants cost risk to sit. FOB puts freight and insurance on the buyer; DDP puts landed cost on the supplier. Mandating a single term removes the reconciliation step that turns five offers into five different cost structures, and it makes landed cost rather than unit price the comparison basis for the award.
How should responses be scored?
Against published weights and with the sample as evidence. A workable grid is unit price at target volume at roughly forty percent, capability and sample quality at twenty-five, lead time and capacity at twenty, and compliance documentation at fifteen. Score the first-article sample rather than the brochure, because a supplier that returns a part matching the drawing has demonstrated capability while one that returns marketing collateral has not.
What are the most common mistakes in a molded pulp RFP?
Omitting volumes so suppliers pad for uncertainty; bundling tooling into unit price; mixing Incoterms so quotes are not comparable; writing requirements without a test method or pass value; and failing to issue a mandatory bid form. Issuing a response template is the cheapest fix, because when every supplier fills the same table the comparison is mechanical and negotiation starts from a shared fact base.
